1. About the service
Mayfair Atrium Property Desk is a property-management platform for landlords and their authorised tenants, agents and contractors. It can store property, tenancy, rent, maintenance, document, communication, compliance and account information. Operator currently configured as Mayfair Atrium Limited (Companies House no. 13505902), registered office: 167 - 169 Great Portland Street, Fifth Floor, London, England, W1W 5PF. Privacy contact: not configured. These details must be verified before launch.
2. Accounts and authority
Users must provide accurate information, keep credentials confidential and use only accounts they are authorised to access. Landlords are responsible for creating and managing tenant/agent access and for ensuring that information uploaded about another person is lawful, relevant and accurate.
3. Security and multi-factor authentication
MFA is mandatory for production accounts. Users must protect their Authenticator device and recovery codes. Suspected compromise must be reported promptly. Recovery codes are intended for emergency account recovery and should be stored separately from the password.
4. Trial, subscription and payments
Landlords receive a 14-day trial. The trial does not automatically charge at the end: the landlord must choose a paid plan. Web card/wallet payments should be handled by a hosted/tokenised PCI-capable payment provider; native mobile subscriptions use the production billing route required for the distribution model. The service must not store full card numbers or CVV values. Any option to retain a payment method is separate and optional, and stores only provider references and limited display metadata in this application. Prices, renewal terms, cancellation controls and taxes must be displayed before purchase.
5. Rent payments
If rent-payment functionality is enabled, the platform acts only as the software/payment interface described at checkout. The tenancy agreement remains the source of the tenant's payment obligations. Payment status should be based on confirmed provider/bank information or landlord reconciliation, not merely a tenant assertion.
6. Documents, maintenance photos and communications
Users must upload only material relevant to the property or tenancy. Maintenance photos should avoid unnecessary personal information and should never place a tenant in danger merely to obtain evidence. Emergency situations must use the appropriate emergency or property emergency contact route.
7. Availability and integrations
Email, SMS, WhatsApp, payment, cloud storage and other integrations depend on third-party providers. Their availability and separate terms may apply. The operator should publish planned maintenance/support arrangements for the production service.
8. Acceptable use
Users must not use the service unlawfully, attempt unauthorised access, upload malware, impersonate another person, harass users, or use tenant information for unrelated purposes.
9. Data protection
Personal data is handled as described in the Privacy Notice. Where a landlord determines why and how tenant information is used, that landlord may have independent controller responsibilities. The platform operator's controller/processor role must be documented in the production contracts and data-processing agreement.
10. Retention and account closure
A user can close the portal account and submit an erasure review. Access is disabled immediately, but closing an account does not necessarily mean every tenancy, rent, deposit, tax, fraud/security or legal-claim record can be erased immediately. Data no longer needed should be deleted or anonymised under the published retention schedule. A tenant's landlord may continue to see lawfully retained tenancy records, but never the tenant's password, Authenticator secret or recovery codes.
11. End-of-tenancy and deposits
Check-out inventory, condition evidence and proposed deposit deductions are record-keeping tools. Proposed deductions are not treated as automatically final merely because a landlord enters them. The workflow supports tenant agreement/dispute and the relevant deposit-scheme resolution process. Users remain responsible for following the rules that apply in the property's jurisdiction.
12. Liability and professional advice
The software assists record-keeping and workflow management but does not replace legal, tax, accounting, property-safety or professional advice. Users remain responsible for statutory compliance, tenancy decisions and the accuracy of information submitted to authorities or advisers.
13. Updates, release notices and legal changes
Product and security updates are published through the Update Centre with versioned release notes. Material changes to these terms are issued as a new policy version and presented for renewed acceptance where appropriate. The platform may monitor official legal and standards sources for changes, but detected changes require human legal/compliance review before application rules or policy wording are changed.
14. Ownership of the software and brand
The service is operated under the Mayfair Atrium Property Desk brand by Mayfair Atrium Limited. Unless expressly stated otherwise, Mayfair Atrium Limited owns or licenses the proprietary application code, Mayfair Atrium branding, product design, documentation and service materials. Third-party and open-source components remain owned by their respective rights holders and are used under their applicable licences.
15. Customer software licence
While a subscription is active, the operator grants the authorised customer a limited, non-exclusive, non-transferable and revocable right to access and use the service and authorised application clients for the customer’s own property-management activities. No source-code ownership or wider intellectual-property rights are transferred. The licence ends when the subscription or account lawfully ends, subject to any required data-export or retention process.
16. Licence restrictions
Except where applicable law gives a non-excludable right, users must not copy or redistribute the proprietary application, resell or sublicense access without written authority, remove copyright or ownership notices, bypass security or subscription controls, introduce malware, scrape the service in a way that harms availability, or reverse engineer the software beyond legally protected interoperability rights.
17. Customer content and permissions
Users retain their rights in property records, documents, photographs and other content they lawfully upload. Users grant the operator the limited rights needed to host, process, secure, back up, scan, transform for OCR/reporting, and return or delete that content in order to provide the service. Users must have appropriate authority to upload information about tenants, agents, contractors or properties.
18. Mobile application and app-store terms
Where the service is distributed through Apple, Google Play, Samsung Galaxy Store or another authorised store, the store’s mandatory terms, billing rules and platform policies may also apply. Store terms do not transfer ownership of Mayfair Atrium Limited’s proprietary software. Subscription and cancellation information must be shown before purchase.
